🚀 Getting started

How do I add my services?+

Go to Settings → My services. Each service has its own price, its location (on site, video call, phone, at home) and, just below, its own rules: payment, travel, booking, cancellation, hours and follow-up.

How do I set my available hours?+

In Settings → Shop opening hours, set your hours day by day, and add your time off under “Exceptional closures”. A service can have shorter hours, set under the service. Your clients can only book within these time ranges.

Where can I find my booking link to share?+

It is shown at the top of your dashboard, with a button to copy it or share it directly. This is the link you put in your Instagram bio, your Google listing, your SMS, etc.

📅 Bookings & clients

How does a client book an appointment?+

They open your booking link, choose a service, a date and a free slot, then confirm. They receive a confirmation email (and an SMS depending on your plan), with a reminder before the appointment.

Can a client cancel or reschedule online?+

Only if you allow it in Settings → My services, under each service (“Booking and cancellation”): there you also set the notice period and whether a deposit is refunded.

How do I add an appointment manually (client on the phone, etc.)?+

From your calendar, click a free slot to add an appointment yourself — it works like any other appointment (reminders, slot blocking, etc.).

A client who comes regularly? In “Repeat”, choose every week (and which days), every month, every year or every day, “every 2” if needed, then a number of times or an end date: the whole series is added to your calendar with the same reminders (52 appointments max, over 1 year). If a time is already taken by another appointment, it is skipped and you see it in the message. Your “For me” tasks repeat the same way, and can also repeat forever.

In the same window: “All day” (from your opening to your closing time), a video call link to paste (Zoom, Teams… otherwise Google Meet is created automatically if Google Calendar is connected), guests (a contact or an email address: they receive the invitation, reply in one click and get a reminder the day before) and attachments (PDF or photo, 10 MB, 5 max: your client finds them in their emails and their account). It's included in all plans.

When you click an appointment, its file takes you from the journey to the follow-up: Google Maps or Waze directions, saved access info (code, floor, parking), “I'm arriving in 15 min” to let the client know, “Completed” or “Client no-show”, photos, client signature, notes (private or shared with the client), “Thank you for your visit” summary, next appointment in one click and a follow-up task. What happens automatically (distance zone in km, summary, recommended next appointment, reminder if a video call link is missing) is set in Settings → Travel and appointment follow-up.

In the “🔔 Reminders” block of the window, choose how your client is reminded (“Remind the client”) and how you are (“Remind me”): by email or notification on all plans; by SMS or by a call from an AI agent (in French for now) with a paid plan (€0.30 excl. VAT per call, refunded if nobody picks up); up to 3 reminders, from 15 minutes before to 2 days before. Your default settings are in Settings → Your clients' reminders, and notifications are turned on for each device in Settings → Notifications on this device. WhatsApp is coming soon.

📞 Missed call → SMS

What is it for?+

When you miss a call, the person immediately gets an SMS with your booking link instead of just hanging up — they can book in one minute instead of forgetting to call back.

How do I turn it on?+

Go to Settings → Order your dedicated number: state your status (individual or company) and attach an ID document or a Kbis company registration extract (required by telecom regulations; €4.90 excl. VAT/month). The number is active within about 24 business hours. It then appears automatically in Settings → Automatic growth, with the codes to dial on your phone to forward your missed calls to it.

Does it block normal calls?+

No. Forwarding only kicks in if you don't pick up (busy, no answer, phone off). A call you answer works exactly as before.

🌐 My showcase page

What is it, and who sees it?+

A public page in your name, which you customize and share (social media, bio, recruitment...). Your clients or prospects see it when you send them its link; only you can edit it: in Settings → My showcase pages, click “Edit my page”, then change the text and photos directly on the page.

📣 Calendrio Prospection

What is Calendrio Prospection for?+

To send email campaigns to professionals (companies, shops, practices, agencies), from your own professional address, with no technical setup. Interested people book directly in your calendar. Discover the service.

How is it different from the Pro subscription?+

The Pro subscription is the software you use yourself (calendar, booking page, clients). Calendrio Prospection is a service: our team prepares your professional address, your targets and your messages, then sends your campaigns. How much does it cost?+

When do I pay?+

As soon as you request it: you pay for the pilot online, by card, in 1 minute, and your invoice arrives by email. After that, everything happens online, with no meeting: a few questions (3 minutes), your professional email address to connect (settings are checked automatically), your target list to review and your texts to approve in one click. The emails then go out on their own, and you get a report every Monday. If the pilot can't go ahead, you get a full refund.

Why do I need an address on my own domain name?+

Free email services (Gmail, Hotmail…) block bulk sending, and your emails would end up in spam. An address like firstname@your-name.com looks more serious and gets delivered better. If you don't have a domain name, we can offer you one: it is registered in your name.

Why do the first sends take 2 to 3 weeks?+

A new address has to build trust with mailbox providers: we start with a few emails, then increase every day. With an address that already exists, a few days are enough.

Can I write to private individuals?+

No. The law forbids sending these emails to private individuals without their consent. The service is only for reaching professionals.

What if I don't get any appointments?+

You have the appointment guarantee: if no appointment is booked within 60 days after your sends start, your 2nd month is free, automatically. Appointments are counted automatically in your Calendrio calendar: each company contacted gets its own booking link. If your appointments don't go through a Calendrio calendar, you confirm them yourself in one click. The month's amount is deducted from your next invoice.

Can I edit my prospecting emails?+

Yes, at any time, even while sending: open the “View or edit my texts” link in your report (every Monday during the pilot, then every month). You edit the text directly, you see the exact email that will go out, and “Send me a test” sends it to you from your professional address. Your name, the “reply STOP” line and the note “Appointments managed with Calendrio” are added automatically.

What happens when a company replies to me?+

Sending stops for that company and you get an email with its message and, most of the time, a suggested reply. One click on “Review and send my reply”: you edit it if needed and it goes out from your address, in the same thread. You can always reply from your own mailbox. Automatic replies (out of office, holidays) are ignored. When the company books in your calendar, you are notified and the appointment is counted in your report.

What happens if I stop?+

You can stop whenever you like, at no cost. Your domain name and your email address are in your name: you keep them, along with your contact list and your campaign history.

🔗 Linked accounts

What is it for?+

To link several Calendrio accounts: two businesses run by the same person, a shared room or equipment, or a shop that shows its practitioners' calendars. An appointment booked in one account can block the same slot in the other. Included in all plans.

How do I link two accounts?+

In Settings → Linked accounts, enter the login email of the other account and send the invitation. The other account receives an email and accepts from its Settings. Up to 10 linked accounts.

What does each account choose?+

Two settings, each chosen separately: “Their appointments block my slots” (their appointments and group sessions count as busy on your page and show as “Busy” in your calendar, without the client's name), and “Show their calendar on my page” (your clients see “Our team”, with the specialty you enter). The other account's Google or Outlook busy times also show in your calendar as “Busy”, without details (they can hide them). For a Google or Outlook calendar to block the slots of both accounts too, connect it in each of them.

Can my clients book with the whole team?+

Yes. As soon as a linked account is shown on your page, your clients see the “See the whole team's availability” button. They choose a service (and can sort by specialty), then a day: they see everyone's free times. They pick the time, then the person or “No preference”, and finish the booking on that person's page, already filled in. If several people offer a service with the same name (e.g. “Relaxing massage”), it is grouped. To set a specialty: Settings → Linked accounts → “Their specialty” field.

Which link should I put in my ad or on Instagram?+

The link to your team page: calendrio.fr/reserver_equipe.php?pro= followed by your page ID (the one in your booking link). The client lands directly on the choice of service, day and time, with the whole team's availability. For a simple setup, the team account doesn't need services of its own: the members' services are shown.

My members are on Free: are all their services shown?+

With the Team (or Business) plan on the team account: yes, your team page shows all the services of each member, even if they are on Free, and the client can book them. On their own page, the member keeps their plan's limit (2 services on Free). They can take any plan they like on their account whenever they want: they remain a member of your team. With other plans, each member on Free shows 2 services.

Do I see my members' appointments? And do they see mine?+

If you check “Their appointments block my slots”, you see their appointments in your calendar, as “Busy”, with one color per member (legend above the calendar). Never the client's name, the service or the payment. Their Google or Outlook busy times also show automatically as “Busy”: you see when they are taken, never the title, location or attendees. Each member can hide their Google / Outlook busy times in Settings → Linked accounts. Two members linked only to you see nothing of each other.

Where do appointments, clients and payments go?+

Each appointment stays in the account where it was booked: its calendar, its client record, its payment (on its own Stripe account) and its cancellation rules. Nothing is copied from one account to another.

How do I remove a link?+

In Settings → Linked accounts, click “Remove the link”. The other account is notified by email. Your appointments and clients don't change.

💳 Subscription & billing

How long does the free trial last?+

1 month, no credit card needed. You can activate your subscription at any time from the banner at the top of your dashboard or in Settings → Subscription & Billing.

How do I top up my SMS balance?+

Click your balance (at the top of the screen) or “+ Top up”: choose a pack and pay securely by card.

How do I cancel my subscription?+

In Settings → Subscription & Billing, the “Cancel my subscription” button is available at any time. No new payment is taken: you keep access until the end of the period already paid. During the free trial, it stops immediately.

📅 Google and Outlook calendars

Show all your Google and Outlook appointments in Calendrio

Once your calendar is connected, your Google or Outlook appointments show in your Calendrio calendar. If they are “Busy”, your clients can't book those slots. Included in all plans, including the Free plan.

GGoogle Calendar

  1. Connect the right account. In Settings → Google Calendar sync, click “Link my Google account”. Choose the account of your Google Calendar. If Google shows checkboxes, check them all.
  2. Check your calendars. On a computer, open Google Calendar. In the left column, check each calendar to show (“My calendars” and “Other calendars”). Calendrio reads your main calendar and all checked calendars, including those shared with you. An unchecked calendar doesn't show.
  3. A calendar on another Google account? For example a personal account and a work account. Share it with the address connected to Calendrio:
    1. On a computer, open Google Calendar with the other account.
    2. In the left column, hover over the calendar, click ⋮ then “Settings and sharing”.
    3. Under “Share with specific people or groups”, click “Add people and groups”.
    4. Enter the address connected to Calendrio. Choose “See all event details”, then “Send”.
    5. Open the email received at the connected address and click “Add this calendar”.
    6. Make sure it is checked under “Other calendars”. It then shows in Calendrio.

    Google Workspace account: your administrator may block sharing outside the organization.

Outlook / Microsoft 365

  1. Connect the right account. In Settings → Outlook / Microsoft 365 sync, click “Link my Microsoft account”. Choose the account of your Outlook (Outlook.com, Hotmail, Live or Microsoft 365), then accept the permissions.
  2. Nothing to check. Calendrio reads all the calendars of this account: the main calendar, the ones you created, and the ones shared with you that you accepted.
  3. A calendar on another Microsoft account? In Outlook on the web, with the other account: next to the calendar, click “…” then “Sharing and permissions”. Enter the address connected to Calendrio, choose “Can view all details”, then “Share”. Accept the invitation received at the connected address. If it shows in your list of Outlook calendars, it also shows in Calendrio.
  4. Work account. If Microsoft says admin approval is required, your company must first allow Calendrio. Pass the request on to your IT department.

💡 A Google account and a Microsoft account? Connect both: Calendrio shows both calendars in one place.

Good to know

  • Calendrio shows your appointments from the last 7 days and the next 60 days.
  • No waiting: an appointment added in Google or Outlook shows as soon as you reload your calendar page.
  • By default, an appointment marked “Free” is shown but doesn't block your bookings. An all-day event only blocks if it is marked “Busy”.
  • You choose. In Settings → Your Google / Outlook events in Calendrio: all events block, none do, or only those marked “Busy”. There you also choose which calendars Calendrio reads.
  • For a single event (or all its repeats), click it in your Calendrio calendar. Choose whether clients can book during that time, whether you want an email when a client books at the same time, and whether Calendrio moves it automatically. This choice overrides the general setting and is kept if the event changes in Google or Outlook.
  • A meeting with other people is never moved automatically: its guests would not be notified.
  • The tasks you note in Calendrio are added to your main Google calendar and your main Outlook calendar, with their color and reminder (notification on your phone). Edit them in Calendrio: Google and Outlook follow.
  • Your Calendrio appointments are added to your main Google calendar and your main Outlook calendar. They don't show twice.
  • In Calendrio, these appointments are read-only. To edit them, go through Google Calendar or Outlook.

Nothing showing?

  1. Reload your calendar page.
  2. Check that the appointment is within the period shown (7 days before, 60 days after) and, for Google, on a checked calendar.
  3. Check that your subscription is up to date: showing calendars is included in all plans, but paused if a payment fails.
  4. In Settings, click “Disconnect”, then reconnect the account and accept all permissions. This is especially useful if you connected Google a long time ago: back then, only your main calendar was shown.

🔌 Integrations

Can I sync Google Calendar or Outlook?+

Yes, from Settings → Google Calendar or Settings → Outlook / Microsoft 365. Your Calendrio appointments show there and your personal events block your slots. See the step-by-step guide.

Can I connect Calendrio to my other tools (Zapier, Make)?+

Yes, via Settings → Connect Calendrio to your tools: every new appointment or cancellation is sent automatically to the URL you enter.

Can external software check my availability automatically?+

Yes, via Settings → API access: generate a key, read your services, opening hours and free time slots, and create appointments from any program. The Free plan is included (limits depend on your plan, see the Pricing page). For your website, the simplest option is the “Book” button (WordPress plugin, or code to copy for Wix, Squarespace, Webflow, Shopify).
