For a first contact, many individuals and business owners prefer to book a time slot rather than call. Online booking works for a firm on three conditions: the lawyer stays in control of each appointment (approval before confirmation), the request arrives already sorted (area, type of consultation), and the client knows in advance where, when and how the meeting will take place. You approve each request
Turn on manual approval for your consultations: the request appears in your calendar, but it's only confirmed to the client once you approve it. A minimum booking notice, set in hours, gives you time to prepare the meeting.
Requests that are already sorted
Before seeing the time slots, the client answers your questions: “Is your request about family, employment or a business?”. They then only see the consultations that match, with their duration and price.
Office, video call or phone
Each consultation has its own location and duration. For video calls, a Google Meet link is created automatically if your Google calendar is connected. Your Outlook or Google calendar syncs to avoid double bookings with your court hearings.
Case tracking in the client record
For accounts in the “Legal & Consulting” sector, the client record includes case tracking: title, number, status (open, in progress, closed), due date and private notes, next to the appointment history.

Example: a first consultation, from request to appointment
- In the evening, from their phone: the client opens your booking page, says their request is about employment law and chooses “First consultation – 45 min – video call”.
- The next morning: the request is waiting for you in the calendar (the client was told by email that it's waiting for approval). You accept it in one click and the appointment becomes “confirmed”.
- Before the consultation: a reminder is sent automatically by email (the day before by default, or 2 days, 2 hours or 1 hour before, depending on your setting), with the date, the time and the video call link. You can add a short SMS with no details about the case: the practice name, the day, the time and a cancellation link. The client can add the appointment to their calendar in one click.
- After the meeting: you open a case file in the client's record and note the next deadline.

What Calendrio doesn't replace
Calendrio is an online calendar and a client file. It doesn't replace your practice management software, your fee agreement, or your own checks before accepting a case. Manual approval simply gives you time to do them before confirming an appointment.

Frequently asked questions from lawyers
Can I check a request before confirming the appointment?
Yes. For each service, you can turn on manual approval: the client's request arrives in your calendar and is only confirmed once you agree. This gives you time to do your usual checks before meeting someone.
How can I know in advance what the client is booking about?
You can ask one or more questions before the time slots are shown, for example the area of law concerned (family, employment, business…). Depending on the answer, the client only sees the consultations that match. You receive requests that are already sorted.
Can I offer consultations by video call or by phone?
Yes. Each service has its own location: at the office, by video call, by phone or at another address. If you connect your Google calendar, a Google Meet link is created automatically for each video call appointment.
Can the client pay for the consultation online?
Yes, if you wish. For each service, you choose payment on site, a deposit or full payment at booking, by card via Stripe. You set the amount and the terms; Calendrio takes no commission on these payments, only the payment provider's fees apply.
My firm has several lawyers: does each one keep their own calendar?
With the Team plan (up to 5 team members), each lawyer has their own appointments and you choose who provides each service. The client can choose which lawyer they want to meet when booking.
